Hi all, let me quickly introduce myself. I'm Kevon and I run an interactive video conf platform called Toasty ( designed for facilitation & engagement.

We want to make it very easy for any meeting facilitator to engage their audience without juggling between different platforms, and so we have a series of engagement activities that the host can grab, customize, and use to drive conversations and collaborations.

Recently we've added some Liberating Structures templates to the platform, and because we're definitely not professional facilitators (more passionate tech builders), what I want to seek help is for experienced facilitators to take a look and give feedback on how we can improve the set up of those templates to re-create an "almost like" physical experience.

I'd appreciate it so much if we can hear your insights!

Here are the steps for anyone interested:
1. Go to?and click the top right orange button
2. Sign up for a free trial account
3. Create a new session, pick a Liberating Structure template
4. Doing so will populate the structure using different "Toasty activities" - this is the interactions list that you can use to engage the audience during the live session
5. If you can, use another computer (or open another tab) to join as a participant and test run it
6. By now you should have tons of feedback! I'd love to hear them. (I can reach out to you to say hi!)

For those of you familiar with Zoom webinar, I had a very frustrating experience yesterday where a number of our webinar registrants were effectively 'locked out' from joining . They had all registered in advance, were approved, and received a link to join; yet, when they clicked their link and input their password, they were sent to a registration screen that told them "the event is full and registration is closed." Many gave up in frustration.

Do any of you have experience with this, and how do I ensure it does not happen again? Zoom support in unfortunately unavailable right now.

Thanks for this feedback. The number of participants was set to 100 because that is the webinar plan we registered for. We did not (could not) have had more than 100 people try to join because I manually approved each and every registration and we only had 100 people approved. They were the only ones who got the webinar link in advance via email. Is there anything else it could be, or you feel certain that is it?

I should add, from my host view I only saw 45 participants during the session when 100 had registered in advance. I am still getting emails from registrants today that they were unable to join and I am thinking now that the majority of those who did not make it were not able to.

Alec, check the set up of the event to see if it had a maximum number of participants set. So if it is set at 100, and 120 people register, those coming in once 100 is reached are locked out.?

Of course, there¡¯s more to maximising engagement in online events than the ¡®soft start¡¯. But it¡¯s a great start ?

  • I greet each arriving participant by name, and check that they can be heard and seen
  • I repeat the explanation of what¡¯s about to happen almost as many times as there are participants

  • I put the very early birds into pairs. They¡¯ll have heard the explanation clearly. Then, as it gets busier, I add more people to those pairs so that they are joining an established group and will hopefully follow what¡¯s?already happening

This month I am organizing online dialogue spaces for people to talk and reflect on their reactions concerning racism and other forms of oppression.

These gatherings are 90 minutes and are 'open to all'.

My way of creating a soft landing on these evenings:
- provide a personalised message for the waiting room with my picture in it.

So people can recognize the host once they are in the main room.

  • While they are in the waiting room, I ask them to:
    get a drink/choose a comfortable place to sit/take some deep breath do a quick bodyscan
  • When they are in the main meeting room. They are greeted by presentation shown as a short looping movie (made in Canva) and some soft music. On the looping presentation I ask people to slowly arrive mentally and fysically, then type in the chat where they are calling from
