Our inaugural Dialogue of the year sets the stage by introducing the 250th field guides and delving into the integral narrative of Indigenous history as inseparable from New York's collective identity. Participants are invited to engage in a thoughtful reexamination of Indigenous histories and experiences (both historical and contemporary). Through nuanced exploration, our aim is to spark essential conversations about the pivotal roles our sites and collections play in shaping narratives, and the pressing need to foster meaningful connections with Indigenous communities across what is now New York State. This talk will overview and demonstrate how the mailbagit tool converts email export files to WARCs and discuss the strengths of web archives for email preservation.?

Speaker bio: Gregory Wiedeman is the university archivist in the M.E. Grenander Department of Special Collections & Archives at the University at Albany, SUNY where he helps ensure long-term access to the school's public records. The Information Science Student Association at U-Albany invites you to meet up in New Windsor, NY for a visit to the Archives at Storm King Art Center.

The staff will lead a presentation and tour for about 30-45 minutes. Coffee and pastries will be served. Our archives visit ends at 4pm. After the Archives visit, we are all free to explore Storm King and enjoy the sculptures until the park closes at 5:30pm.

Storm King Art Center is a 500-acre outdoor museum located in New York’s Hudson Valley, where visitors experience large-scale sculpture and site-specific commissions under open sky. Since 1960, Storm King has been dedicated to stewarding the hills, meadows, and forests of its site and surrounding landscape. Building on the visionary thinking of its founders, Storm King supports artists and some of their most ambitious works. Changing exhibitions, programming, and seasons offer discoveries with every visit.

As a repository for both historical and current documentation, the Archives at Storm King Art Center collects, organizes, preserves and makes accessible multi-format records of enduring value that document the Art Center's development.

DISTINGUISHING FEATURES OF THE CLASS:? This position is responsible for managing the technical aspects of the Electronic Content Management System (ECMS) of the Hall of Records as well as any projects in Albany County that utilize this system. This includes but is not limited to designing workflows, forms, and templates, creating metadata, managing permissions, and learning how to use any additional ECMS features that the County may add to the system. To help administer the system, the position will liaise with the Division of Information Services including but not necessarily limited to questions about hardware, storage, and any other questions/needs germane to the ECMS. This position is also responsible for helping to organize and oversee any training required of ECMS users. To accomplish these tasks, the position will learn and stay current with ECMS best practices. The position will be expected to participate in the planning of projects and grants that involve the ECMS as well. The position is under the general direction of the Deputy County Clerk responsible for the Hall of Records. This is not a managerial position, and as such, the position may take direction from the Archivists, as well as from the Records Manager responsible for the Records Center, on a project-by-project basis. TYPICAL WORK ACTIVITIES:

Helps administer the ECMS via permission management, workflow construction, form construction, folder structure construction, and template construction for the Hall of Records, particularly for the Archives but also for the Records Center and for the other administrative functions of the agency as needed;

?????????? Surveys and assesses current electronic records holdings and organization and assesses their condition. When possible, brings these records into the ECMS repository, builds template(s), constructs a folder structure, and generates the relevant metadata necessary for their organization and access;

?????????? Surveys and assesses current electronic records storage policies, procedures, and methods, helping to establish new ones as necessary to realize best practices in the field;

?????????? Ongoing education and training;

?????????? Training and education of relevant staff;

?????????? Works with the Division of Information Services when applicable to help manage electronic records storage and to help administer the ECMS.

MAC is soliciting applications for the 2024 Archie Motley Memorial Scholarship for Students of Color (
). The scholarship is designed to provide financial assistance to students of color pursuing graduate education in archival administration and to encourage ethnic diversification of the MAC membership and of the archival profession. Two $1,500 scholarships, accompanied by one-year memberships to MAC, will be awarded. ?

To be eligible for a scholarship, the applicant must be of African/African American, American Indian/Indigenous, Arab/Middle Eastern, Asian/Asian American, Latinx, or Pacific Islander descent; must be a student currently enrolled in or accepted in a graduate, multicourse program in archival administration; and must have a grade point average of at least 3.0 (on a 4.0 scale) in their academic program. If the program is not listed in the SAA Directory of Archival Education, , the applicant must provide proof of the multicourse standard by submitting copies of course descriptions from the institution’s current departmental catalog.?

Application Deadline: January 5, 2024

The Association for Recorded Sound Collections is now accepting applications for ARSC Conference Grants for its Annual Conference, to be held in St. Paul, MN May 15-18, 2024.
?
The grants are designed to:
-- encourage ARSC members and non-members to attend their first ARSC conference
-- reach out to college students and professionals in the early stages of their careers
-- promote mentoring and professional development opportunities
-- advance scholarly research and publication, and
-- support ARSC members who desire to participate more actively in the association.

In addition, the committee will also be using a portion of our grant funds to specifically enable persons who identify as BIPOC (Black, Indigenous, People of Color) and LGBTQIA (Lesbian, Gay, Bisexual, Trans, Questioning, Intersex, Asexual) to attend their first ARSC conference. Persons who do not identify as BIPOC/LGBTQIA are encouraged to apply for Conference Grants, as well.

Grant recipients are awarded:
-- complimentary registration for the ARSC Annual Conference.
-- complimentary registration for the Pre-Conference Workshop.
-- reimbursement up to US$750 to defray the expenses of transportation and lodging (upon approval of valid receipts, to be submitted after the conference). Rental car costs for transportation within the conference city are not reimbursable.
?
At the time of application, the applicant must be planning to attend their first ARSC conference.
?
The applicant must also be one of the following:
-- a college or university student aspiring to work with sound recordings
-- a recent graduate seeking a professional position involving sound recordings
-- a professional within the first five years of their career, who has demonstrated a dedication to sound recordings
-- a discographer, collector, or other researcher showing compelling prospects for the publication or dissemination of their scholarly work.
?
Applicants who demonstrate an interest in serving on an ARSC committee, publishing their work in the ARSC Journal, or presenting at an ARSC conference will be given particular consideration. Preference will be given to applicants who plan to attend the entire conference, including the pre-conference workshop.
?
Each applicant must submit:
-- a Letter of Application describing the applicant's background and current activities, clearly indicating why the applicant merits consideration for an ARSC Conference Grant.
-- a Proposed Budget for travel costs, including itemization of Any Non-ARSC Funds that the applicant may receive toward ARSC conference attendance, and
-- a brief Resume or Curriculum Vitae.

Additionally, each applicant shall arrange for one Letter of Support, to be directly submitted by the writer of the letter, not the applicant.

This November, join DHPSNY for , a free, 2-week immersive learning experience that will set your institution up for success in times of crisis. Participants will not only learn the essentials of emergency preparedness, but also put their knowledge to task in an interactive exercise simulating a real collections emergency.

Description

Emergency preparedness is one of the most important steps any cultural institution can take to safeguard its collections. In week one of this online course, we’ll provide an overview of key elements?of emergency preparation in self-paced modules, focusing on the?emergency management cycle, risk assessment,?components of a preparedness and response plan, and determining salvage priorities. Students?will?put this new knowledge into practice during week two, with?collaborative?group work?to draft?an emergency preparedness plan.


Learning Outcomes

  1. Increased understanding of the emergency management cycle, salvage priorities, and risk assessment
  2. Increased confidence in writing and editing an emergency preparedness plan

With a flexible learning environment, this course combines the convenience of on-demand, virtual education with the benefits of interactive learning. The first week of the course is divided into three?asynchronous?modules, and the second week consists of?synchronous group sessions.

Strategic Planning Assistance


Developed in partnership with the New York Council of Nonprofits (NYCON), DHPSNY assesses an organization’s strengths, weaknesses, opportunities, and threats under the leadership of a trained facilitator. At the end of the process, your organization will have completed a three-year strategic plan, a document unique to your institution, identifying key goals to support and strengthen your organization with milestones to gauge your success along the way


Archival Needs Assessments


An thoroughly examines your institution's archival program, identifying what's working, as well as areas of potential improvement. An Archival Needs Assessment pinpoints problems, recommends solutions, sets priorities, and guides the development of your archival program.


Preservation Surveys


A? is a general evaluation of your institution’s preservation needs and is a recommended step for any archival program. In addition to pinpointing areas of concern and recommendations for improvement, a Preservation Survey is a valuable tool in fundraising for collections care and is often a prerequisite for grants and other funding opportunities.


Condition Surveys


A is designed to evaluate the materials in a discrete collection. It is a valuable tool for institutions that have previously undergone a Preservation Survey (through DHPSNY or another program) and are now interested in evaluating the condition of collection materials on a more granular level.


Looking to establish a preservation framework for your institution first?


Conducted virtually, DHPSNY? is an informal and accessible process for organizations looking to strengthen their organizational capacity. This collaborative process pairs a facilitator with staff and volunteers to build out short-term goals in the areas of collections care and management, access and outreach, and resource development.?Applications for this service are accepted year-round on a rolling basis.
