Strategic Planning Assistance


Developed in partnership with the New York Council of Nonprofits (NYCON), DHPSNY assesses an organization’s strengths, weaknesses, opportunities, and threats under the leadership of a trained facilitator. At the end of the process, your organization will have completed a three-year strategic plan, a document unique to your institution, identifying key goals to support and strengthen your organization with milestones to gauge your success along the way


Archival Needs Assessments


An thoroughly examines your institution's archival program, identifying what's working, as well as areas of potential improvement. An Archival Needs Assessment pinpoints problems, recommends solutions, sets priorities, and guides the development of your archival program.


Preservation Surveys


A? is a general evaluation of your institution’s preservation needs and is a recommended step for any archival program. In addition to pinpointing areas of concern and recommendations for improvement, a Preservation Survey is a valuable tool in fundraising for collections care and is often a prerequisite for grants and other funding opportunities.


Condition Surveys


A is designed to evaluate the materials in a discrete collection. It is a valuable tool for institutions that have previously undergone a Preservation Survey (through DHPSNY or another program) and are now interested in evaluating the condition of collection materials on a more granular level.

Input Needed: Cultural Stewardship Succession Planning Survey

 

The?Collections Stewardship Succession Planning Initiative?is a two-year project of CCAHA, in partnership with?,?created to?actively address the need for leadership development and knowledge transfer in the cultural heritage workforce.?Funded by?a National Leadership Grant from the?, the initiative will gather data and build professional development resources to support succession planning for collections stewardship staff and volunteers.

To inform the creation of these resources, CCAHA and Lyrasis are conducting an online survey to gather data on current succession planning practices and better understand what kind of resources would most benefit the field.

Collections Management staff at libraries, archives, museums, and other collecting institutions as well as Arts Administrators and Operations Managers within the arts field are encouraged to respond. The survey will take approximately 15 minutes to complete, and all responses are kept confidential.

ARCHIVAL AIDE

?

DISTINGUISHING FEATURES OF THE CLASS: These duties involve the practice of following well-established archives guidelines and procedures. Work is process oriented involving several steps from preparation to storage in safeguarding the recorded history of Albany County. The incumbent in this class performs routine and repetitious work often involving large quantities of records that are at times oversized and fragile. Work will involve arrangement of materials and sometimes stabilization (cleaning, flattening or rehousing) of records before imaging. This work is performed under the direct supervision of the Archivist. Does related work as required.

TYPICAL WORK ACTIVITIES:

·???????? Inspect and prepare documents to be scanned; ensure correctness of order, documents are clean, flat, and free of fasteners

·???????? Set-up and operate scanning equipment

·???????? Inspect/quality control of processed microfilm and digital images. Operates microfilm reader to proof and inspect microfilms; check against original documents to ensure quality reproductions;

·???????? Enter imaging data for indexing purposes into inventory tracking system or other image retrieval software;

·???????? Process master and duplicate microfilm for storage and retrieval; box and label and assign inventory control numbers and description into ACHOR inventory tracking system;

·???????? Create, store and track digital images. Provide reproduction copies for agency and public requests;

·???????? Perform routine upkeep of microfilm and scanning equipment including cameras, wide-format, flat-bed and book scanners as well as microfilm reader printers. Cleans and maintains work area;

·???????? Assist Archivist with paper work and filing requirements as needed;

·???????? Assists researchers in the public search room in locating records, either on microfilm or paper, assuring that materials are handled properly;

·???????? Responds to written letters or e-mail from the public, researching for them;

·???????? Prepares finding aids and documentation for records using a personal computer, re-filing or cross-indexing of materials;

·???????? Cleans archival documents and places in acid free tissue, folders and boxes;

·???????? Wraps historical volumes in acid free paper and arranges for their safe keeping;

·???????? Confidentiality. This position will occasionally deal with confidential records;

Workshop Description:
Digitization, by us, for us. This workshop is geared towards community archives, kinfolk historians, and small groups, particularly those who want to leverage digitization as a means of sharing and preserving community history.

In this workshop, we will discuss:

  • Cost-effective and open-source software and technologies for digitization projects
  • How to navigate small spaces, for physical workspaces and digital storage space
  • Best practices for digitization, including examples of scalable workflows
  • How to balance these workflows against limitations of time, budget and space
  • Resource pooling and how this can help achieve unexpected goals

This workshop will also include:
Demonstrations about material handling and object storage. Participants will work with different types of housings and enclosures that may be encountered during digitization. Attendees will take home a sample starter kit of archival enclosures.?Participants will have the opportunity to digitize an item in their own collections*. High resolution image files will be emailed to each participant after the workshop

?

*Participants are invited to bring a maximum of one object from their personal or community collection. The George Eastman Museum is dedicated to providing a safe-space environment: we want to create a space where all people, regardless of gender, sexual orientation, disability, physical appearance, race, or religion, are accepted and respected. Please be cognizant of the group setting of this event when selecting objects to bring to the workshop. Due to technical limitations, objects cannot exceed the size of 11x14 inches flat, 10 inches in height, or weigh more than 1lb. Please do not bring any objects that contain flammable, caustic, or toxic components. Participants will be required to sign a hold-harmless agreement and a personal-property pass prior to arriving at the workshop.

About the Instructor:?
Elizabeth Chiang is the Museum Photographer at the George Eastman Museum. She is the principal imaging technician for the ongoing digitization of the museum collection. She is in charge of maintaining imaging workflows for grant-funded digitization projects. Outside of the studio, she documents galleries and museum spaces using 3D scanning. Elizabeth has a Master of Arts in Photographic Preservation and Collections Management from Toronto Metropolitan University. She is also a guest lecturer for the Department of Museum Studies at the Rochester Institute of Technology and teaches courses in cultural heritage digitization.

DESCRIPTION
The Web Archiving, Preservation, and International Archival Affairs Sections are co-hosting a fascinating event on the topic of Saving Ukrainian Cultural Heritage Online. When Russia invaded Ukraine in 2022, Ukraine's online cultural heritage was at risk. Three library professionals from around the world joined together to create Saving Ukrainian Cultural Heritage Online (SUCHO). SUCHO works to create a digital backup of Ukrainian cultural heritage websites from museums, libraries, and public archives and their digital offerings, such as 3D collections and activities for children. Anna Kijas and a panel of volunteers will give an overview of the project, what prompted the creation of SUCHO, their goals for the future of the program, and what we as fellow Archivists can do to help. Short section business meetings will also be part of this event.

We are a welcoming, friendly group motivated to discuss, learn, and highlight web archiving projects, tools, and technology. This group is a great one to join if you are interested in learning more about web archiving, and it is a great way to expand your professional leadership skills and experience. We have monthly meetings which last for about one hour, during which we will discuss committee-related business such as: preparing for the Section’s Coffee Chats, recruiting for blog posts, outreach, and annual meeting planning.?

The staff will lead a presentation and tour for about 30-45 minutes. Coffee and pastries will be served. Our archives visit ends at 4pm. After the Archives visit, we are all free to explore Storm King and enjoy the sculptures until the park closes at 5:30pm.

Storm King Art Center is a 500-acre outdoor museum located in New York’s Hudson Valley, where visitors experience large-scale sculpture and site-specific commissions under open sky. Since 1960, Storm King has been dedicated to stewarding the hills, meadows, and forests of its site and surrounding landscape. Building on the visionary thinking of its founders, Storm King supports artists and some of their most ambitious works. Changing exhibitions, programming, and seasons offer discoveries with every visit.

As a repository for both historical and current documentation, the Archives at Storm King Art Center collects, organizes, preserves and makes accessible multi-format records of enduring value that document the Art Center's development.

Volunteers wanted for a crowdsourced transcription project at Union College

is looking for volunteers to help us transcribe the Jane Tunis Poultney Bigelow diaries so that we can make these materials available to a wider audience and provide new opportunities for researchers and students.?


In 2021, Union College’s Schaffer Library received an of the National Archives to digitize and make available materials from the John Bigelow papers. John Bigelow (1817-1911) had a distinguished career as an editor, writer, statesman, and tireless advocate for the public good. The collection consists of over 22,000 letters of correspondence, scrapbooks, diaries and journals, and other professional and personal papers. Seventeen of the collection’s diaries were written by Jane Bigelow, John’s wife, and represent a significant aspect of the collection. They reflect Jane’s life in New York literary circles, her time in London and Paris, and her interactions with the large circle of Bigelow family, friends, and acquaintances.?


To take part in the project, you will need to be comfortable with reading cursive handwriting, have an email address, and have an internet connection available to you. No special software or computer setup is required, and transcriptions can be done anywhere you can connect to our web-based crowdsourcing application.
