Asking a question of new subscribers before approving
Hi, I'm happy that the Yahoo Easy transfer wizard is working. I transferred my group, and all went well.? When we were with Yahoo, we set things up that a new subscribe request required folks to answer a question before being approved.? Does Groups.io have such an option? I've been through the admin section, and haven't seen anything that looks like what I want.? Thanks in advance, John Myers |
Hi John, I believe that there is no such option at this stage. For our group, we currently use Google Forms and then approve based on the answers given. It does add an extra step in terms of checking whether the person has replied but is a simple work-around for us at present. Hope this helps. Marisa

I think many groups use the Pending Notice to ask the questions or get information needed.? You would set it up by going to Admin > Settings, and choosing Member Notices at the top.? If you have your owner account set to receive them, you'll get an email when there's a reply.? There's a bit of information in the Wiki, /g/GroupManagersForum/wiki/Screening-New-Members-Using-the-Pending-Subscription-Notice

Does Groups.io have such an option?Yes it does; go to Admin then Settings, and select Member Notices; you can then set up a Pending Subscription message that is automatically sent to applicants when their "application" is received. You can include your "question" in that so that you can study their response and admit (or reject) accordingly. Chris |
Apologies. I stand corrected and informed.?

Just out of curiosity, can the replies be downloaded as a csv/tsv so that we can put into a database?

There have been discussions on the beta group about having replies entered into a database, but nothing has come of it. John -- Just some additional info for clarity...
This Pending Subscription approach only works for people to apply to join your group. This notice is not sent to people that you invite or direct add. The logic here is that you have previously vetted them in some other fashion and want them to join, otherwise you wouldn't have invited them. If you need to gather information from every subscriber no matter how they join, you'll likely have to find some other way to do it. FYI, Bruce -- The system Help is your friend.??/static/help |
People ask to join our main group in several ways - through Groups.IO, through word of mouth, some books or other web sites list us as a resource (we are a peer support group). No matter how the referral comes to us, we have a "form letter" that is manually sent by one of the moderators - we have shifts so 4 of us can take turns checking our group email account and the Pending member list. Our letter tells a little more about the group and includes the questions we want to ask of new members. AFTER we get a response to that email then we "Approve" or "Add" the member and they get the automated Welcome Letter through Groups.IO.
It really isn't that much of a problem - we only get a few inquiries a week now (after over 20 years the size has leveled out!) and our form letter is stored as a template so our "check the email" chore usually takes only a minute or two. I can see wanting to automate this if you get dozens of requests, or if you are the only person responsible for it, but actually, we like to have that bit of personal contact before adding a new person. I know there are lots of ways groups have handled the issue of needing more information or verification - just sharing what works for us. Barb |
