I wanted to message you about possibly hosting the West Coast WJUC tryout in the Oakland/Bay Area area. We are looking to hold tryouts in November on two of those first three weekends - 11/4-5, 11/11-12, or 11/18-19. We plan to have about 100 players in attendance with about 15 or so coaches, 1-2 USAU staff, and 1-2 athletic trainers also attending. Ideally, we're looking for 6 ultimate fields, but could do it with 4. Good grass fields are preferred, however, we would also like to have some backup turf fields booked just in case the weather decides to not cooperate. Is there any chance you could help us find some field sites in your area that would meet the above criteria? Would also greatly appreciate it if your organization could supply at least one person/volunteer to help with some of the logistics, such as helping secure some supplies like tents, water jugs, cones, and discs. We also would be providing a $250 host honorarium that you could either pay to your volunteer or use however else you might see fit. By helping assist us in hosting an event like this, any of the kids in your area invited to tryouts would also save a lot on travel costs. Please let me know your thoughts or if you have any additional insight on others who might be worth reaching out to about this! I've already messaged a few other organizers in different areas in the west to see who might be able to host, so please get back to me as soon as you can, especially if you're interested in hosting! Hi Chris, When you get the chance, can we square up on this form due tomorrow (Monday)? I'm happy to fill it out and submit, but I may need some info from you and/or the coaches for each team. I haven't gotten through the whole form, but so far it looks like we need to submit four contacts for each team for their Pocket Team app that they'll be using for communications, as well as confirmations and details for coaches and chaperones for each team -- there are also spots for "team support" and "team media" -- we may want/need to put in in Ron for "team media." Database Mangagement
Hi Board, Hopefully we can get someone to help up manage our database, because it feels like TeamSnap while good at some things, is a bit clunky in others. For example, I was looking for an updated roster of our 3 teams and it isn't really set up to show that in TeamSnap. We have a U20 team set up, but only a joint U17/15 team, which makes it hard to communicate with just the U17 team who's traveling to YCC. Also, it isn't really updated or parsed in a way that it's easy to identify who's a practice player and who's not. I've been reaching out to families this weekend to confirm they have travel arrangements, and came across some families who are listed on the YCC travel doc, but aren't actually going, and vice versa. All this is to say, it's important to set up systems that are easy to maintain and to maintain them to the best of our ability. Chris is this something you can take on as master of all things TeamSnap? Is there an additional level we could get (TeamSnap pro?) that could keep everyone in one database with kids being rostered for different teams over time within our org? Or is this happening behind the scenes? In the interim, is it worth creating a simple google doc where we keep the active rosters for each team similar to what you did here (but is out of date).

Hi Board and Coaches, This weekend I was approached by Aliseo at practice, who was there to play with either Sparks or Ignite but even he was unsure. (He’s 12). He wanted to know where to sign up and get his USAU number. Do any of the coaches know who invited him to practice and when? I don’t want to tell him how to sign up if he’s not officially on the team. Is he??? Please confirm. I know him from St Paul’s and DiscOTech with whom he played on D2 last year, and he’s a great young player who’d be good to bring into the program from a skills perspective. I’m fine if we want to add players to Ignite as we go this summer since we don’t have any particular tournament we are aiming at, but we should probably just have a discussion about this since it would be different than how we are treating Sparks and SmOAK which had tryouts/cuts etc. Anyone know anything about this? Hi all. Just a note to let you know that after a few internal discussions, we're rounding out on a fee of $425 for YCC. It was a bit of a struggle to get it down to this number, in significant part because we are supporting three travelling coaches for each team. We made some compromises to do so: (i) while the team might organize on-field lunches, they would be voluntary and not club-subsidized; (ii) we've only included half of the total photography cost in this budget on the theory that he will be doing other stuff for us. Snacks and a dinner event remain in the budget. We'll plan to send out the notice shortly. Let me know if you have questions or comments.

2024 Board Roles and nominating new board members 2
Hi all, I've reached out to each of you individually to ask about your hopes/plans for next year in terms of your involvement on the board. Please give it some real thought, and we hopefully can have a good sense by the end of the week of what internal changes/updates will be needed for 2024 and how many new folks we will want to bring onto the board this August. Starting a new thread to say I've added a new TAB on the Roles and Responsibilities sheet for Potential 2024 Board Members. This is a place for us to keep track of people any of us might want to nominate. It's not a ranked list or anything. Please add the name of people you want us to consider for 2024 (or the future) here. Once we know what each of our plans are, we can start to think about which of these people we would like to formally ask to be on the board based on the role they would fill and qualities they would bring to the board. The only person who I know was asked about her interest in the past (around the time of Seven Hills) was Jessica Gatewood by both Garner and myself, and at the time she had other commitments that precluded her from joining. I inquired this morning to see if she might have time for 2024, and she's thinking about it. It wasn't a formal offer to join the board, but seeing if she was interested. Maybe our board on-boarding process can be a topic for either this upcoming Board Meeting or one in July? Our by-laws don't really describe a nominating process (only a majority vote), so we should come up with one we are comfortable with. Adam

Financial Aid 2023-Travel Fund???
Hi Board, Question for us all....Last year we tried to establish a new aspect of our financial aid program: we hoped to have the PLAYERS raise $2500 to be distributed to players families asking for assistance with TRAVEL expenses. In the end, the players didn't really get on this early enough in the summer, and it was a scramble at the end to fill the fund (essentially parents chipped in to try to fill the gaps, and then Kevin Lee made a very generous donation to get us to our goal in the end.) Do we want to try to do this again? Any ideas on how to do it better? Does anyone want to take the lead on this effort and being the contact for the players to help make this a reality? I don't think they can be relied on to do it themselves given our experience last year. Adam

U20 at Revolver tournament this weekend??? 4
Hey Guys, I just saw that the practice that was Sunday afternoon is now Saturday afternoon, and heard that SmOAK (and maybe also Sparks???) is trying to get an invite to a Revolution hosted tournament in Orinda on Sunday. All of this has happened in the last 24 hours, and is being organized on Slack. I'm having a lot of feelings coming up about this. 1) I'm 100% in favor of the team getting tournament experience, however they can. 2) I'd like the coaches to be in greater contact with the board about these things so we can do the needed back of house things (e.g. establish a budget, track payments from players, publicize in our community, bring snacks, etc.) 3) I'd like us to be more respectful of peoples schedule and not change dates/times of our events at the last minute. I know that a lot of our players have jobs, and moving practices creates unnecessary conflicts. It's also Father's Day, and I assume almost all of the our players had plans that were arranged around the published schedule which are now greatly impacted. Did anyone on the board know about these changes and approve them? Adam

Hi Board, I saw this message come across on Team Snap for DiscOTech. The mom of Ben Rogers is looking for more opportunities for Ben and Logan to play ultimate this summer. They have played a little with OAK in the past I believe. They are both developmental players. Would there be any room for them on Sparks or Ignite? I don’t have a good sense yet of what’s happening with ignite since we don’t have any tournaments for them to play at the moment, but I gather they are practicing when anyone practices. Would it be appropriate to tell them to check out Ignite even though they are currently 15? Would it be better to see if they wanted to be practice players on Sparks? Ron Sellers for OAK YCC proposal 10
Hey all - I’ve talked to Ron Sellers and he is interested in being our travel photographer for YCC this summer. These were the numbers that we came up with and seems reasonable given the quality of what he would deliver. Andrew and I talked about it and with coaching fees, etc for the tournament, this would be incorporated into that “tournament” fee but where all OAK players would have access to every photo he publishes for us. Can we do a “remote vote?” Or we can talk about it this week during or meeting with Robin? Travel airfare - $400 Car Rental (Thursday-Monday) - $300 Hotel Stipend - (Thursday-Monday) - $800 Sat/Sunday/Monday shoots - $500/day Total: $3000
