? ? ?During the past 4 years, I have volunteered with the AARP Tax Aide Program where we are trained to prepare tax returns for low-income seniors. Our Washtenaw County group does not have a Technical Coordinator for the upcoming year. We are in need of someone to share some responsibilities with others?or fulfill all responsibilities.?

TaxAide Technical Coordinator Responsibilities?
Determine equipment needs to support all D31 sites ¨C Late summer, early fall
Work with the DC to understand which sites will be in use for the upcoming tax year
Determine the equipment needed for each site and any spares that will be kept on hand
For new sites using local internet access work with the site¡¯s network team to design the appropriate configuration
utilizing the AARP docs provided in the TC folder
For new sites using Verizon Hot Spots work with the State TC to get approval and the order completed (this
requires several months lead time)
Requisition / purchase and configure additional equipment as needed
Internet Connectivity
Establish Secure and reliable internet at each site
Fall timeframe - Confirm the connectivity plan for each site in the fall for the upcoming year. At sites using hot spots verify the space to be used for tax prep has adequate reception. For those using local internet verify that the previously provided solution has not changed since the last tax season.
Preseason test - Each site should be tested 3-6 weeks prior to the tax season start date to verify the solution using the site¡¯s assigned network hardware (hotspot and or router) printer and 2 or more Chromebooks.
Hot Spots?¨C Managed at the state/national level.
Before tax season - Load latest updates from manufacture¡¯s site and update the admin password. The admin password is the same on all hot spots and is NOT shared with the group. See hot spot document on AARP portal tech folder.
Provide information on any inventory changes to the State TC to get the national list updated.
Tax site Routers?¨C Purchased and managed by the local TC
Verify existing routers are still on the approved list on the AARP Tech site. Replace as needed with approved units.
Load latest updates from manufacture¡¯s site and reset the admin password at least annually before tax season. Detailed instructional documents are on the AARP tech site. The admin password is NOT shared. Verify Router connectivity at each site during the onsite test 3-6 weeks prior to the tax season start
Individual routers for home use?- Purchased and managed by the local TC Verify existing routers are still on the approved list on the AARP Tech site. Replace as needed with approved units.

Printers ¨C?Requisitioned thru the state TC, tracked on the AARP site inventory
Verify adequate printers are on hand for at least one at each site. Configure new printers per the document on the AARP tech site.
Update Printer firmware and admin password at least annually before tax season Verify printer operation 3-6 weeks before the tax season during the onsite test. Store printers that are not assigned or in use at a site
Update printer Inventory in AARP Portal as needed
Acquire and distribute supplies
Order the supply of Drums / Toner for all sites from the State appointee. This can be done multiple times during the tax year.
Purchase printer paper from local vendor (Staples) for all sites and distribute to LCs. Request reimbursed thru the AARP reimbursement system.
