IDEA 〞 New Member Liaison. 2
Driving around today, I thought of a new member I met at one meeting, and then can't recall seeing them again. That got me to thinking that it's a missed opportunity with new members, or even guests, interested people, coming to a meeting, and us not immediately getting their information and following up - making them feel valued, that we are interested in them. As opposed to them being interested in us, which they are, or else they wouldn't have shown up. They did half, now we have to reciprocate the interest or they feel we don't care. If there was a new member liaison - someone already usually at every meeting, who would be tasked with meeting new people, shake their hands, have an initial conversation with to get their information and permission to e-mail them after the meeting. Secretary doing sign-in? The President leading the meeting? Find out where they live, what their interests are and then pair them up with an Elmer in the club - whether it be local communication, assisting with events, emergency preparedness, digital modes, contesting, CW, whatever. Part of this is the idea that the club ALSO has an ongoing dialog with its members and knows who in the club really likes and participates in this, or that, to be able to make the appropriate connection. PR duties 3
I was thinking through the PR duties as I reached out to Larry Moyer, who declined, but it helped be christalize what I see s the PR duties and this is what I came up with: 1st, disseminate information about meetings to local community groups, news outlets, etc, primarily via e-mail. Build up an e-mail list and web submission list (TV stations, etc) Tell about what is coming up, and then also what we have done - "PARK did Field Day and communicated with 312 stations across the country in this emergency preparedness exercise that PARK does 2x a year, every year. To get involved go to K5PRK.net. bla bla bla" in others Public Relations relates what we do to the Public. 2nd aspect is to keep an ear out on what's going on - Events like the Plano Balloon festival, Plano preparedness fair, etc, and keep a list so it's even easier second time around, etc. Dates may shift, but the events will likely repeat year after year. While always thinking.. hmmm, what about Plano Octoberfest? would that be good? Would they give us a table for free? Reach out to the event organizers. Can we secure a space? Yes. Okay. then, that leads to... 3rd, then help oversee / find people to provide a presence at these events. The PR person doesn't have to go, but rather reach out to members to see who could go. Via the club E-mail list, Facebook, maybe a few text messages, put it in the monthly meeting powerpoint deck. There's also a multi-club North Texas area e-mail list to help PR coordinators share information and coordination. This way, one club, hopefully, wouldn't have to staff every event, but rather the weight of being there could be shared across multiple clubs. So that's what I envision as the role of PR. I know we've put the question out to the club members via the e-mail list, but I find that people have so much going on that if they see it at all, if they don't reply that minute, it quickly gets buried and lost. Even questions posted to our board list often don't net replies from all the board members. How to we work through that? I don't know. In a couple cases, I have reached out directly via text and that personal, 1:1 communication worked when e-mails were ineffective. Knowing that, it may take us touching base directly with various club members, asking, getting referrals, etc, to find candidates who would actually be interested and available, but had no idea it was a need the club had. Maybe that's what the club needs, just that 1:1 conversation with members. Reawaken that connection that shriveled up and died over three years of Covid. PR person doing PR for the club to the people on the club roster of members. :) "Hey, how you doin'. Got the September meeting coming up and we'll be talking all about this cool thing. Love to see you there. Okay. Yeah, same place. Monday at 7. Yup. Thanks. No problem. Another thought popped into my head as we discuss storage - is the poles needed for the Field Day setups. Kip owns his poles, we talked about getting poles, Darryl has a pile of poles in his yard, and I know a few others have poles. Sometimes there's poles at hamfests, but if we look to aquire poles, we need a pole count, and then allocate space for all those poles. Alternatively, if we're erecting resonant dipoles, something I see a huge percentage of POTA people discuss in the POTA group on Facebook - they're using Spiderbeam telescoping masts to go 40, 50 60 feet in the air from a central push up point. Sorry I had to drop out - needed to take my little guy to bed. 8p is his time. Is there an update on getting a new power supply for Field Day radio kit #2. I need to get the QSL information for those who sent us QSLs for the Member Activation Contest so I can send return QSLs. So if they can be brought to the September Meeting, I can pick them up there. A thought on the club storage - I would just sign up for one month to start- to see exactly how much space the collected gear takes up. Because, depending on the ceiling height, and stackability, a 5x5 is not just 25 square feet, but a 5x5 x 8 (With 28" deep shelves on the side and back wall = over 200 SF of storage space plus multiple corners to store tall masts and poles. Will it fit? I dunno. Here is the status of the upcoming election as I know it. I checked with Sam Parsons, and he won*t be able to remain as the PR director. I checked with Bruce Cameron K6BWC, and other activities preclude him from running for PR Director. Any ideas on who we can get to run for PR? Have we heard from Miranda if she*ll take on the Communications Role? Does anyone have here telephone number? Or any other possible candidates for this position? If we can*t come up with candidates for these two positions, I*ll send an email to the group announcing the two open positions and ask for volunteers. Board Roles 3
I went and looked at the board member roles and they can use some updating. It's clear there's been updates to the Constitution where these roles are detailed, But the version found on the website "Revision 5 [date]" is lacking the updated date. :) The file name is PARK_Constitution - K5TCJ Draft 2022-03-18.pdf so that lets us know it was a draft and the upload date. Is it typical to keep old text in a document? (text that has been struck through, and then highlighting new text with color? When I tried to copy and paste the text from the PDF, the colored text moved in placement, some didn't copy at all, and all of the strikethrough text copied as plain text, losing the strikethrough, creating a confusing mess when I tried to copy and paste it. In fact, having re-created it here, I expect it won't appear to everyone as I have re-created it. So I was curious about the protocol for holding on to the original wording when the document has been revised - "He" replaced with other words, etc. As opposed to creating a clean updated articles for the club. - Some of the key duties I do not see listed here are who owns/controls the access to HamClub Online, the club Google docs, club ownership of social media accounts, and who else has direct access to that information in case of a club need. Also, as we had discussed more opportunities for the PR Director, which are technically covered by the existing "will perform any other duties pertinent to the communications of the club*s activities to the general public." but could really be served by additional, detailed guidance. I also humbly suggest that Communications Director be renamed Repeater Chair or Technology Chair something more directly related to the role as "Communications" is a word we hear very often in media 〞 "the communications director is responsible for creating and promoting the agenda of the president and leading its media campaign" which we have covered by our PR Chair. Thankfully Neil, our current newsletter editor has been going above and beyond and creating an actual club newsletter, which is posted on the club website. As opposed to the stated duties of "publishing club information on available social media" which I think sounds more like a description of the PR Chair duties. Blackland Triathlon Communication Volunteer Update August 28, 2024
This is another plea for volunteer communicators for this coming Labor day Triathlon. If you are a member of another local club, please forward this email through your other organizations. We are very short of communicators. We normally have 11 to 16 volunteers. We only have 6, as of today (08/28). Any available help would be greatly appreciated! There is a sight chance of rain on Monday morning, with rain chances increasing later in the day. In case of inclement weather, the Race Director may make the decision to alter, postpone, or cancel the race, once they have been in contact with local (county/city) reporting authorities. Announcements will be forwarded to all involved parties, if/as required. Rain, alone, will not necessarily cancel the entire event. The text from my previous email is pasted below. The Blackland Triathlon will be held on Labor Day morning, September 2nd, at the Oak Point Park Recreation center (6000 Jupiter Rd, Plano, TX 75074). Volunteers are needed for communications positions throughout the race. Radio operators are needed to shadow event officials, support staff and medical services. We will also need a net operator and, if possible, a couple of radio-equipped runners. There are three to four openings available for SAG (Support and Gear) vehicles that are equipped with mobile radios. These are usually pickup trucks or large SUVs with large back doors. There may also be opportunities for radio-equipped observers along the course (if there are enough volunteers). The Youth are split into Juniors and Seniors, and the Adult races are simply called the Sprint. There are technically three different types of SPRINT races going on at the same time. The Sprint Triathlon (Swim, Bike and Run), the Sprint Aquabike (Swim and Bike) and the Sprint Aquathon (Swim and Run). We will not be concerned with the different types of races going on, per se. We will, however, be focused on the participant's safety, their bib/arm/leg numbers and status or positions on the course. The more volunteers that can participate, the more eyes we have on the racers. As the event transitions from the Youth to the Adult courses, there will be a few position changes that will be made. We customarily use the PARK UHF repeater for this event (444.250), as all HT's can reach it on the course. Simplex for this event has not worked well in the past, with HT's usually being able to communicate with Net Control, but cannot, necessarily, with each other. All radio communicators will need to arrive in front of the Oak Point Rec Center by 5:45-6:00 am, and are usually done with their responsibilities by 12 Noon. Most have been able to leave by 11:30. Parking for event volunteers has been across Jupiter at the Plano Event Center. With all of the construction that has been going on at that site, I will be verifying that information well before the event an letting everyone know. Please consider supporting this great race!
